How to Write a Methodology Chapter for Your Thesis

Have you chosen interviews, a survey or another research method, but are you unsure what to write in your methodology chapter?

A strong methodology explains what you did, how you did it and why your choices fit your research question. It gives the reader enough information to understand and assess your research.

This guide is written for students at a Dutch university or university of applied sciences. It is also useful if you follow an English-taught programme or conduct your graduation research abroad.

Every programme uses its own structure and terminology. Always check your graduation manual and assessment criteria first.

Tips for writing your methodology

What is a research methodology?

The methodology chapter describes and justifies the way you conducted your research.

It explains:

  • which research approach you used;
  • who or what you investigated;
  • how you selected participants or data;
  • how you collected the data;
  • which instruments or materials you used;
  • how you analysed the data;
  • how you addressed research quality and ethics;
  • why these choices were suitable.

The reader should be able to understand how your findings were produced.

Your methodology is not only a list of actions. You must also explain why your choices helped you answer the research questions.

Methodology, methods and research design: what is the difference?

These terms are closely connected. Programmes do not always use them in the same way.

Research design

The research design is the overall structure of your study.

It connects:

  • the research objective;
  • the main question and sub-questions;
  • the type of research;
  • the population;
  • the data collection;
  • the analysis.

Research methods

Research methods are the specific techniques you use.

Examples include:

  • interviews;
  • surveys;
  • observations;
  • experiments;
  • document analysis;
  • literature research;
  • focus groups;
  • statistical analysis;
  • thematic analysis.

Research methodology

The methodology explains the complete research approach and the reasoning behind it.

It describes both:

  • what you did;
  • why you did it that way.

Your programme may call the chapter methodology, methods, method section, research design or research method. Follow the terminology used in your graduation manual.

Research proposal or final thesis?

You often describe your method twice.

In your research proposal, you explain what you plan to do.

For example: Ten semi-structured interviews will be conducted with international employees.

In your final thesis, you report what you actually did.

For example: Ten semi-structured interviews were conducted with international employees.

The final methodology must match the research you completed.

Did you change the sample, instrument or analysis after your proposal was approved? Explain the change when it affects how the reader should assess the study.

Do not copy the proposed methodology without checking whether it still reflects the actual research.

Where does the methodology go in your thesis?

The methodology usually comes after the introduction, literature review or theoretical framework.

It normally appears before:

  • the results;
  • the discussion;
  • the conclusion.

The exact chapter order depends on your programme and type of thesis.

In a research proposal, the methodology comes before the research is conducted. In a final thesis, it reports the completed research.

What should a methodology chapter include?

Most methodology chapters cover the following elements:

  • research approach;
  • research design;
  • population or research units;
  • sample and sampling method;
  • recruitment;
  • data collection methods;
  • instruments or materials;
  • operationalisation;
  • procedure;
  • data preparation;
  • data analysis;
  • reliability and validity;
  • qualitative research quality;
  • ethics and privacy;
  • relevant limitations or deviations.

Not every study requires the same headings.

A quantitative survey needs different information from a qualitative interview study. A literature review requires a different methodological explanation from field research.

How to write your methodology in 9 steps

Step 1: Check your programme requirements

Start by reading:

  • the graduation manual;
  • the assessment criteria;
  • the required chapter structure;
  • ethical guidelines;
  • instructions from your thesis supervisor;
  • examples provided by your programme.

Check whether your programme expects:

  • a separate research-design chapter;
  • a separate operationalisation section;
  • reliability and validity in the methodology;
  • limitations in the discussion;
  • appendices with instruments;
  • an ethics form;
  • a data-management plan;
  • APA-specific methods headings.

Do not assume that a general online template matches your programme.

Step 2: Return to your research questions

Every methodological choice must help answer a research question.

List your main question and sub-questions. Then ask:

  • Which information is needed?
  • Who or what can provide that information?
  • Which method can collect it?
  • How can the information be analysed?
  • Which quality risks must be addressed?

Create a simple overview before you start writing. For each research question, note which data you need, who or what can provide that data, how you will collect it and how you plan to analyse it. This helps you check whether your research questions, participants, methods and analysis fit together. Use the overview as a planning tool. You do not always need to include it in your thesis.

Do not choose a method only because it is familiar or convenient.

Step 3: Explain your research approach and design

Start with the overall research approach.

Explain whether the study is:

  • qualitative;
  • quantitative;
  • mixed methods;
  • experimental;
  • descriptive;
  • exploratory;
  • explanatory;
  • evaluative;
  • design-oriented;
  • a case study;
  • a literature review.

Do not only attach labels.

Explain what the design means in your study and why it fits the objective.

For example: A qualitative design was used because the study aimed to explore how international employees experienced the onboarding programme. Semi-structured interviews allowed participants to describe their experiences and explain which elements they considered important.

This explanation connects:

  • the objective;
  • the type of data;
  • the research design;
  • the chosen method.

Step 4: Describe the population and sample

First describe the target population.

This is the full group, organisation, set of documents or cases to which your research relates.

Then describe the sample.

Include:

  • who or what participated;
  • the number of participants or cases;
  • relevant characteristics;
  • inclusion criteria;
  • exclusion criteria;
  • the sampling method;
  • how participants were recruited;
  • how many people were approached;
  • response or participation;
  • reasons for choosing the sample.

Possible sampling methods include:

  • random sampling;
  • stratified sampling;
  • convenience sampling;
  • purposive sampling;
  • snowball sampling;
  • quota sampling;
  • census research.

Do not call a sample representative without evidence.

For qualitative research, explain why the selected participants had relevant knowledge or experience.

For quantitative research, explain how the sample size was determined and whether the sample reflects the population.

Step 5: Explain your data collection methods

Describe exactly how you collected the data.

Depending on your study, this may include:

  • interviews;
  • focus groups;
  • surveys;
  • observations;
  • experiments;
  • existing datasets;
  • internal documents;
  • academic literature;
  • online analytics;
  • tests or measurements.

Explain:

  • why the method fits the research question;
  • how the instrument was developed;
  • whether theory or existing scales were used;
  • whether you conducted a pilot;
  • when and where the data were collected;
  • whether collection was online or in person;
  • how long participation took;
  • which language was used;
  • whether interviews were recorded;
  • how responses were stored.

Refer to the full questionnaire, topic list or observation form in an appendix.

Do not place the complete instrument in the methodology chapter.

Step 6: Describe the research procedure

The procedure explains the sequence of the research.

Give enough detail for the reader to understand what happened.

For an interview study, describe:

  1. how participants were recruited;
  2. what information they received;
  3. how consent was obtained;
  4. where the interviews took place;
  5. how long they lasted;
  6. whether they were recorded;
  7. how they were transcribed;
  8. how the data were stored.

For a survey, describe:

  1. how the questionnaire was distributed;
  2. which platform was used;
  3. how long it remained open;
  4. whether reminders were sent;
  5. how incomplete responses were handled;
  6. how the dataset was prepared.

Are you conducting research abroad? Also explain relevant practical choices, such as:

  • language;
  • translation;
  • cultural adaptation;
  • local access;
  • time differences;
  • online data collection;
  • local or organisational approval.

Step 7: Explain how you analysed the data

The reader must understand how raw data became results.

Qualitative analysis

Explain:

  • how the data were transcribed or prepared;
  • which coding approach was used;
  • whether codes were theory-driven, data-driven or both;
  • how codes were grouped;
  • how themes or categories were developed;
  • whether software was used;
  • how the analysis was checked;
  • how quotations were selected.

For example: The interviews were transcribed and analysed using thematic analysis. Initial codes were assigned to relevant passages. Related codes were then grouped into broader themes linked to the research questions.

Do not only write that interviews were “coded”. Explain what that involved.

Quantitative analysis

Explain:

  • how the dataset was cleaned;
  • how incomplete responses were handled;
  • how variables were coded;
  • which descriptive statistics were calculated;
  • which statistical tests were used;
  • why those tests were suitable;
  • which assumptions were checked;
  • which significance level was used;
  • which software was used.

For example: Descriptive statistics were used to summarise the sample and key variables. A multiple regression analysis was then conducted to examine whether perceived supervisor support and workload predicted employee engagement.

Avoid naming statistical tests without explaining their purpose.

Step 8: Discuss research quality and ethics

Explain which steps you took to improve the quality of the research.

Quantitative research

Depending on your study, discuss:

  • construct validity;
  • internal validity;
  • external validity;
  • measurement reliability;
  • internal consistency;
  • representativeness;
  • standardised procedures;
  • validated scales;
  • pilot testing.

Qualitative research

Depending on your programme, you may discuss:

  • credibility;
  • dependability;
  • transferability;
  • confirmability;
  • transparency;
  • triangulation;
  • member checking;
  • peer review;
  • audit trail;
  • reflexivity.

Do not mention quality measures that you did not actually use.

Also describe ethical and privacy measures, such as:

  • informed consent;
  • voluntary participation;
  • right to withdraw;
  • anonymity or confidentiality;
  • secure data storage;
  • handling of recordings;
  • protection of sensitive information;
  • organisational permission;
  • deletion of personal data;
  • GDPR requirements.

Explain how these measures were applied in your study.

Step 9: Justify choices and report changes

A strong methodology explains why each choice was suitable.

Use this pattern:

  1. state the choice;
  2. link it to the research question;
  3. explain the benefit;
  4. recognise relevant limitations.

For example: Purposive sampling was used because the study required participants with direct experience of the new onboarding programme. This produced detailed and relevant information, but the findings cannot automatically be generalised to all employees.

Did the final research differ from the proposal?

Explain:

  • what changed;
  • why it changed;
  • how the change affected the research;
  • which steps you took to maintain quality.

Do not hide practical deviations. Transparent reporting makes the methodology stronger.

What to include for qualitative research

A qualitative methodology commonly explains:

  • why qualitative data were needed;
  • the qualitative approach;
  • participant selection;
  • interview, focus-group or observation design;
  • topic-list development;
  • pilot testing;
  • procedure;
  • recording and transcription;
  • coding;
  • thematic or other analysis;
  • researcher role;
  • ethical measures;
  • research quality.

Be careful with fixed rules about the number of interviews.

The right number depends on:

  • the research question;
  • the diversity of the sample;
  • the depth of the interviews;
  • the complexity of the topic;
  • the programme requirements;
  • whether sufficient information has been collected.

Do not claim saturation without explaining how you assessed it.

What to include for quantitative research

A quantitative methodology commonly explains:

  • the variables or constructs;
  • operationalisation;
  • research design;
  • population and sample;
  • sample-size calculation;
  • sampling method;
  • questionnaire or measurement instrument;
  • scales and response options;
  • pilot testing;
  • data-collection procedure;
  • data cleaning;
  • missing values;
  • statistical analyses;
  • assumptions;
  • reliability and validity;
  • ethical measures.

Use tables when they make the operationalisation or sample clearer.

Do not fill the methodology with software screenshots. Describe the analytical choices and present relevant output in the results or appendices.

What about mixed-methods research?

Mixed-methods research combines qualitative and quantitative data.

Explain:

  • why one method was not enough;
  • which method came first;
  • whether both methods had equal weight;
  • how the findings were connected;
  • how one phase informed the next;
  • how you dealt with conflicting findings.

Do not call a study mixed methods simply because it includes a few open survey questions.

Both parts must contribute meaningfully to answering the research question.

How much detail should you include?

Include enough detail for the reader to:

  • understand what you did;
  • assess the suitability of your choices;
  • follow the research process;
  • judge the quality of the findings;
  • reproduce important parts where relevant.

Avoid irrelevant operational detail.

For example, the colour of the survey button is unlikely to matter. The wording, scale and distribution method do matter.

Use appendices for:

  • questionnaires;
  • interview guides;
  • consent forms;
  • detailed codebooks;
  • extended statistical output;
  • recruitment messages.

You may know which method you used but still struggle to explain and justify your choices.

Perhaps:

  • your research question and method do not match;
  • your sample is unclear;
  • you are unsure how to describe the procedure;
  • your data-analysis section is too brief;
  • your supervisor asks for more justification;
  • reliability and validity remain vague;
  • you need help explaining SPSS, Stata, R or Python analyses;
  • you find it difficult to write the chapter in academic English.
